This service is provided "as is" and may not always be accurate or reliable. Use it carefully.
No lawsuits
By using this service, you agree not to sue me (the developer) for any loss or damage caused by using the service.
Limitation of liability
To the maximum extent allowed by law, I am not responsible for any direct, indirect, special, incidental, or consequential damages resulting from your use of the service.
Age requirement
You must be at least 13 years old (or the minimum age required by your country) to use this service.
Governing law and jurisdiction
These terms are governed by the laws of the United States. Any disputes will be handled in the courts located in the United States.
Changes to terms
I may update these terms at any time. If I do, the new terms will be posted here. Using the service after changes means you agree to the updated terms.

What MailMind does
MailMind reads the email you forward to it, or the last 24 hours of mail in inboxes you connect directly, finds the things that need you, and emails you a short list at the times you choose.
What we store
- The email addresses of the inboxes you connect, and which provider (Google or Microsoft) each uses.
- An OAuth refresh token for each inbox, encrypted at rest. We never see or store your password.
- Your delivery times and timezone.
- If you subscribe, a Stripe customer ID. Card details are handled by Stripe and never reach us.
- Your lists: each action item with the sender's name and the email's subject line, so you can see and check them off on the website. Lists are deleted automatically after 14 days.
Your email content
- When your list is due, we fetch the last day of messages, pass each one to OpenAI's API to pick out action items, and email the result to you from your own inbox.
- We don't keep your email bodies. They're processed in memory and discarded once your list is built; only the list itself is saved, as described above.
- Under OpenAI's API terms, content sent through the API isn't used to train their models. OpenAI may retain it for up to 30 days for abuse monitoring.
- No person at MailMind reads your email, except when you explicitly share a message with us for support.
Forwarded email
- If you forward mail to your MailMind address, we receive those messages through Mailgun, our email provider.
- Each forwarded message is held only until it's read, normally within 15 minutes, and then deleted. At most we keep it for 24 hours if processing fails.
- What we keep is the same as for connected inboxes: the action item, sender name and subject, as part of your list.
- You control what's forwarded. You can forward everything, use a filter, or turn forwarding off in your email settings at any time.
Signing in
When you sign in with Google without connecting your inbox, MailMind receives only your name and email address.
Google user data
MailMind's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Gmail data is used only to build and deliver your list. It is never sold, never used for advertising, and never used to train general AI models.
Who else is involved
- Google and Microsoft, to access the inboxes you connect.
- OpenAI, to extract action items.
- Stripe, for billing.
- Mailgun, which receives forwarded email and delivers your list.
- Fly.io, which hosts the app and database.
We don't use advertising, sell data, or share it with anyone else.
Your controls
- Disconnect any inbox from Settings. For Google accounts we also revoke MailMind's access with Google.
- Delete your MailMind account from Settings. This cancels billing and permanently deletes your stored data, lists and tokens.
- You can also remove MailMind's access directly from your Google account or Microsoft account.
Security
Tokens are encrypted at rest, all traffic uses HTTPS, and access tokens are created on demand and never stored.
Children
MailMind isn't intended for children under 13 (or the minimum age in your region).
